The Regulations

Five duties, and how each is covered

In the UK, the Health and Safety (Display Screen Equipment) Regulations 1992 give employers five duties towards people who use screens for their work.

DutyRegulationHow Workplaces covers it
Assess each workstation2, 3A short check each person answers, sent when they start, when they are due again, or when something changes
Reduce the risks found2Every problem becomes an action for Facilities, IT or your assessor, tracked until it is closed
Plan breaks or changes of activity4The 20-20-20 Vision app on every desk, with team-level adherence reporting
Eye tests on request5Staff ask from their check or a link; your assessor arranges and records it, and recalls are flagged
Training and information6, 7Four short modules and your own policies, each confirmed by the person

Records aren't a duty in themselves, but they are what an inspector or insurer asks to see. Every check, action, confirmation and eye test is dated and kept, and the evidence pack puts them on one page.

How it works

How a check works

1

It goes out on its own

It goes automatically to new starters and to people due again (every 12 months unless you choose otherwise), and to anyone who reports a desk move, new equipment or a start at home working. You can also send one by hand to anyone, at any time.

2

They answer it

About five minutes from a link in their inbox, with no account to create. Before they start, they're told exactly who will see their answers. The questions are based on HSE guidance, and you can add your own.

3

Each problem goes somewhere

Things they can fix themselves are shown straight away, with a short how-to. A new chair, a monitor arm or a laptop stand goes to Facilities or IT by email. Discomfort goes to your assessor, or to an occupational health contact you name.

4

It gets closed

Facilities and IT mark each item done from the email itself. Two weeks after an item opens, the person is asked whether it was sorted. Anything that wasn't comes back to your assessor.

Each view

Everyone sees what they need, and nothing more

Staff answer from their inbox, your assessor runs it from the dashboard, line managers see who is done, Facilities close items from an email, and your insurer gets the evidence pack.

Your assessor

What your assessor sees

Coverage

Who is in date, who is overdue, and where training, policies and eye tests stand.

Needs you

Checks to review, discomfort to follow up, actions that have stalled, eye tests asked for.

A person's record

Their checks, answers, actions, training, policies and eye tests in date order. Every opening of a record is logged.

The evidence pack

A printable summary with spreadsheets behind it. It names nobody in connection with discomfort or eye tests. An insurer or inspector can have read-only access to it for up to 90 days.

Line managers see only whether their people's checks are done. A monthly or quarterly summary, with counts only, can go to your health and safety committee.

Training

Training and policies

Four short modules come with it: setting up your workstation, laptops and working from home, breaks and the 20-20-20 rule, and reporting discomfort. Each takes two or three minutes. You can add your own as video links, PDFs, intranet pages or modules built in the dashboard, and publish your DSE, home-working and eye-test policies. Each person confirms each one, and the record keeps the exact version they saw. They are asked again when a policy changes or training falls due, with automatic reminders if you turn them on.

Your brand

In your colours, in your words

Staff see your organisation, not ours. Check pages carry your logo and brand colour. Emails come from your organisation's name, replies go to the address you choose, and you write how each invitation and reminder opens. Training can be your own videos, PDFs or intranet pages alongside ours, and your policies are yours in full.

Eye tests

Eye tests

Staff ask for a test from their check or from a link on your intranet. Your assessor is told that somebody asked, arranges the test and records the date. The next test is flagged when it falls due, and the person gets a reminder. You set your process once (provider, how to book, what you pay towards it), or give each site its own in its own currency. We record dates, whether special glasses were provided and any payment. Nothing clinical, ever.

Privacy

Health data and privacy

Health data kept to a minimum

There's nowhere to type symptoms or medical details, and nobody can add health questions of their own, so you never hold more than you need.

Discomfort without the detail

You learn where it hurts, never how badly or why. That's enough to act on, and nothing more.

Each person sees only their part

Line managers never see answers, Facilities and IT see only what they have to fix, and no email ever mentions discomfort.

Every look is logged

Each time anyone opens a person's record, it's recorded.

Kept apart from breaks

Check records are never joined to break data, and breaks stay anonymous.

Deleted on schedule

Records are kept while someone is on your list and for 1 to 6 years after they leave (you choose, 3 by default), then deleted.

Your organisation is the controller and 20-20-20 VISION LTD is the processor. Our data processing agreement, our DPIA and a staff privacy notice template are yours on request.

Any size

Simple for a small team, built for a big one

A small office can be running checks in an afternoon: import a spreadsheet, name an assessor, press send. A large organisation gets the controls it needs, and a small one never has to see them.

Synced from your directory

Keep your list in step with one security group in Active Directory or Entra ID, with line managers read from the directory too.

Joiners, movers and restructures

New starters are sent their first check automatically. When a team moves or a manager leaves, you can move everyone to their new site, department or manager in one go, from the dashboard or a spreadsheet. Groups are rules, not lists, so after a restructure the right people still get the right questions and training without anyone updating them.

Sites, departments and groups

Different questions, training, assessors and routes for each.

Requests to the right team

Facilities, IT and occupational health addresses by site, department or group, set in one grid or imported from a spreadsheet.

Assessors by group

Each assessor sees only the people they cover, and when one moves on, their work passes to another in one step.

Setting up

Setting it up

Your people

Import a spreadsheet, or sync one security group from Active Directory or Entra ID. Line managers can come from the directory too, if you want them to.

Sites, departments and groups

So different people can get different questions, assessors and routes.

Where requests go

One Facilities, IT and occupational health address for everyone, or different ones by site or group.

Your staff privacy notice

Link your own, or start from our template, filled in from your settings.

A checklist in the dashboard ticks off each step as it's done.

Questions

Questions

Does it cost extra?
No. Workstation checks are included in every Workplaces licence, monthly or annual.
Can we start now?
We switch checks on for each organisation as it's ready. Tell us about your team and we'll talk you through it.
Do staff need accounts?
No. Everything they do is through links sent to their work email. Assessors, line managers and auditors sign in with an emailed link, with no passwords.
Can we add our own questions?
Yes, alongside ours, which stay fixed so every check still covers the Regulations. You can add up to 50, in your own sections, for everybody or for particular groups.
Can we export our records?
Yes. Where everyone stands, every action, training, policy confirmations and eye tests all download as spreadsheets.
Which countries is it for?
We're starting with the UK: the questions, training and records follow the Display Screen Equipment Regulations 1992. Other countries follow, each written for its own rules rather than translated from ours. If your staff are elsewhere, tell us where.
